On Saturday, more than 200 Copiers Northwest employees and their spouses/significant others came together at Muckleshoot Casino Resort to celebrate a milestone that means so much to all of us: 40 years of Copiers Northwest.

From the moment guests walked into the ballroom, the celebration was in full swing. Incredible décor transformed the space, a DJ played favorite hits from the 1980s, and a retro video arcade brought a little extra fun and nostalgia to the night. Guests also enjoyed dinner, a photo booth, a cash cube filled with flying cash, and prizes that included weekend getaways, cash, dinners and more!

It was a night designed to celebrate where we started, how far we’ve come and, most importantly, the people who have made Copiers Northwest what it is today.

Owners and brothers Mark and Gregg Petrie shared stories and memories from the past 40 years, taking everyone back to the early days of Copiers Northwest and through the many milestones that followed. What began in 1986 has grown into a company with 13 locations serving communities throughout Washington and Oregon, while still holding onto the values and relationships that have been part of the company from the beginning.

One of the most meaningful parts of celebrating 40 years is recognizing the incredible longevity of our team. Many Copiers Northwest employees have been with the company for more than 20 years, with others celebrating 25, 30 and even 35 years. Those years represent far more than numbers. They represent friendships, shared experiences, thousands of customers served and decades of knowledge passed along to newer members of our team.

Our 40th Anniversary Celebration was a chance to recognize those contributions and say thank you to the employees, spouses and families who have been part of the Copiers Northwest story.

It was also a special opportunity to celebrate Mark and Gregg and the company they built together. Forty years in business is an incredible accomplishment, and it would not have happened without their vision, leadership and commitment to building a company where people can grow, succeed and build lasting careers.

There were plenty of laughs, photos, prizes, memories and stories shared throughout the evening. More than anything, it was a night about being together and celebrating the people behind Copiers Northwest.

To Mark, Gregg and every employee who has been part of Copiers Northwest over the past 40 years: thank you for helping build something truly special.

Here’s to 40 years of memories, friendships and accomplishments, and to everything still ahead for Copiers Northwest.

The start of a new school year brings fresh schedules, new students, busy classrooms and plenty of activity behind the scenes. From front offices and administrative teams to teachers, libraries and print centers, reliable technology plays an important role in keeping everything moving.

At Copiers Northwest, we know that schools need more than equipment that can print. They need technology that helps staff work efficiently, keeps information moving securely and is ready when demand suddenly increases.

Start the School Year with Technology That Can Keep Up

Think about everything that gets printed, scanned, copied and shared during a typical school day: lesson materials, permission slips, classroom packets, newsletters, event signage, student records and administrative documents.

When equipment is slow, outdated or difficult to use, those small delays can add up quickly.

Modern multifunction printers can help schools simplify everyday tasks with faster printing and scanning, easy-to-use interfaces, mobile capabilities and workflow tools designed to reduce unnecessary steps.

And when it comes to managing an entire fleet of devices, Managed Print Services can help schools better understand how equipment is being used, control printing costs and make sure the right devices are in the right locations.

Think Bigger Than the Classroom Printer

Back-to-school season also means open houses, sporting events, fundraisers, performances and activities throughout the year.

With wide-format and production printing solutions, schools and districts can produce more of their own materials, including:

Posters and banners

Directional and event signage

Classroom displays

Athletic graphics

Fundraising materials

Graduation and recognition signage

Bringing more printing in-house can give schools greater control over turnaround times while making it easier to produce materials when they are needed.

Don’t Forget What’s Happening Behind the Screen

Technology challenges are not limited to printers and copiers. Schools rely on connected devices, networks and digital information every day.

Copiers Northwest can also help organizations evaluate their IT environment, document workflows and print infrastructure to identify opportunities for better efficiency, security and reliability.

Sometimes the biggest improvement is not adding more technology. It is making the technology you already have work better together.

A Fresh Start for Your Office Technology

A new school year is a natural time to take a fresh look at what is working and what may need an upgrade.

Is equipment keeping up with demand? Are staff members spending too much time waiting for documents or dealing with recurring technology problems? Could printing costs be better managed? Are there projects being outsourced that could be handled internally?

Those are the kinds of questions the team at Copiers Northwest can help answer.

For 40 years, Copiers Northwest has worked with organizations throughout the Pacific Northwest to provide office technology, printing solutions and local service designed around the way they actually work.

As another school year gets underway, make sure your technology is ready for everything on the syllabus.

The right blend of technology can help your workplace accomplish more.

There is nothing quite like a good cup of coffee to get a Pacific Northwest workday started. Everyone has their preference. Dark roast or light roast. Drip or espresso. Simple or customized with all the extras.

Office technology is a lot like that. There is no single recipe that works for every organization. The best solution is the one built around how your people actually work. At Copiers Northwest, we believe a productive workplace starts with the right blend of equipment, software, service and support.

Start With the Right Equipment

Every good cup starts with a solid foundation, and the same is true for your office technology.

Today’s multifunction printers, copiers and printers do much more than put words on paper. They can become a central part of how information moves through an organization, combining printing, copying, scanning and document handling into one easy-to-use system.

Because Copiers Northwest represents multiple leading manufacturers, including Canon, HP and Sharp, we can help businesses find equipment that fits their actual needs rather than trying to make one brand or model work for everyone.

Learn more about our best-in-class office technology and manufacturers.

Add a Shot of Automation

Sometimes the biggest productivity boost happens before anything reaches the printer.

Copiers Northwest’s Software Solutions can help businesses automate everyday document processes, improve scanning and routing, manage print costs and make information easier to access.

Instead of adding more steps to someone’s day, the right technology can help remove them. Documents can be captured, routed, stored and shared more efficiently, giving employees more time to concentrate on the work that matters most.

Keep the Toner Flowing

A coffee shop would have a hard time getting through the morning rush without coffee beans. Your office has its own supplies that need to stay stocked.

With PrintSmart, Copiers Northwest can help manage your organization’s printers, preventive maintenance, service and toner supplies while simplifying the way you manage your print environment.

It is one less thing for employees and IT teams to keep on their daily to-do lists, and one more way technology can quietly support the work happening throughout your organization.

Make Something Worth Showing Off

Not every project calls for the everyday office brew.

For organizations producing high-volume or professional-quality materials, Production Printing opens up an entirely different menu of possibilities. Today’s production technology can help businesses create impressive brochures, booklets, marketing materials and other finished pieces with outstanding color, media flexibility and automation.

And for existing Copiers Northwest customers who occasionally need additional capacity, our Overflow Print Center can provide backup and overflow production capabilities when needed.

Don’t Forget the People Behind the Technology

Even the best coffee equipment needs someone who knows how to keep it performing at its best.

Technology is no different.

Copiers Northwest’s experienced Service Department supports multifunction printers, wide format equipment, large format printers and production systems throughout the Pacific Northwest. Our technicians average 23 years of industry experience and combine technical expertise with the goal of making our customers’ lives easier.

Because great office technology isn’t just about what you buy. It’s about having the people and resources behind it to help you get the most from your investment.

Find Your Company’s Perfect Blend

Whether your organization needs better office equipment, smarter document workflows, managed print services or advanced production capabilities, the best technology strategy starts by understanding your workplace.

There may not be one perfect coffee order for everyone in the office, and there isn’t one perfect technology solution either.

That’s why Copiers Northwest takes the time to understand how your organization works and help create the right blend of technology and support for your business.

Ready to see what’s brewing for your workplace? Contact Copiers Northwest and let’s find the right technology mix for your organization.

Printing is still an important part of everyday business. Even in a digital world, companies need to print contracts, invoices, reports, presentations, forms, records, and other important documents. When printing is not properly managed, it can lead to wasted paper, high costs, security risks, and unnecessary delays.

This is where print management services can help. They give businesses a better way to manage their printing needs, control expenses, improve document security, and keep daily workflows organized.

For professional businesses such as accounting and legal firms, having reliable printing systems is especially important. These businesses often work with confidential information and large amounts of paperwork. The right printing solutions can make document production easier while helping employees save time.

What Are Print Management Services?

Print management services are designed to help businesses control and organize their printing environment. Instead of treating every printer as a separate device, print management looks at the entire printing process.

A professional print management program can help businesses understand how much they print, which devices employees use, and where printing costs can be reduced. It can also help with printer maintenance, supply management, document security, and workflow improvements.

For example, a company may discover that employees are using expensive color printing when black-and-white printing would be enough. With better management, the company can create suitable printing rules and reduce unnecessary expenses.

Why Businesses Need Better Printing Solutions

Many businesses still depend on printed documents every day. However, unmanaged printing can create several problems. Employees may send documents to the wrong printer, run out of toner at an important time, or print more copies than they actually need. Over time, these small problems can increase costs.

Modern printing solutions can help businesses address these challenges. They can support better device placement, printing policies, document security, and equipment management. Businesses can also use printing systems that allow employees to release documents securely at a printer. This can help prevent sensitive documents from being left unattended.

Better printing is not only about having a fast printer. It is about creating a complete process that works well for the people using it.

Printing Solutions for Accounting Firms

Accounting firms handle many documents, including financial statements, tax records, invoices, client reports, worksheets, and other sensitive information. Because of this, printing must be reliable and secure. Printing solutions for accounting firms can help accounting professionals manage large document volumes while maintaining better control over confidential information.

For example, secure print release can require an employee to authenticate before a document is printed. This reduces the chance of sensitive financial information being left on a printer where another person could see it. Accounting firms can also benefit from organized document workflows. Instead of employees spending time dealing with printer problems, toner shortages, or unnecessary printing, they can focus more on client work.

Another benefit is cost control. By monitoring printing activity, an accounting firm can identify unnecessary color printing, excessive paper use, or inefficient devices. The right printing environment can therefore support both productivity and document security.

Printing Solutions for Legal Firms

Legal firms have their own unique printing requirements. Attorneys and legal staff may need to produce contracts, court documents, case files, evidence materials, agreements, and other paperwork. Many of these documents contain confidential client information, so security is a major consideration. Printing solutions for legal firms can provide tools and processes that help protect sensitive documents throughout the printing process.

Secure printing can help ensure that confidential documents are not printed until the authorized employee is physically present at the device. This simple step can reduce the risk of documents being seen or collected by the wrong person. Legal firms may also need high-volume printing and copying capabilities. Reliable equipment and properly managed workflows can help employees handle large document jobs without unnecessary interruptions.

By using suitable printing solutions for legal firms, offices can create a more organized printing environment that supports their daily operations.

How Print Management Can Reduce Business Costs

Printing expenses can come from more than paper and toner. Businesses also spend money on equipment, maintenance, energy, employee time, and service calls. These services can help businesses understand where these costs come from.

For example, print monitoring can show which devices are being used most often and which ones may be underused. Businesses can then make better decisions about their equipment.

Printing policies can also encourage employees to print only when necessary. Duplex printing, which prints on both sides of a sheet, can help reduce paper consumption. Color printing can also be managed more carefully. Since color pages can cost more than black-and-white pages, companies may choose to limit color printing to documents that actually require it. These small changes can make a meaningful difference over time.

Improving Document Security

Document security is an important part of modern business printing. A printer can sometimes become an overlooked security point.

A document containing financial, legal, customer, or company information may sit on a printer tray for several minutes before someone collects it.

Businesses can reduce this risk with features such as user authentication, secure print release, access controls, and print tracking.

For accounting and legal organizations, these features can be especially useful because employees regularly handle confidential documents.

Good printing solutions should therefore consider security as well as speed and cost.

Choosing the Right Printing Approach

Every business has different printing needs. A small office may need only a few multifunction printers, while a larger professional firm may require several high-volume devices.

Before choosing a solution, businesses should consider:

How many pages are printed each month

The types of documents employees print

Whether color printing is required

Document security requirements

Number of employees and locations

Equipment maintenance needs

Paper and toner usage

Current printing costs

Opportunities to improve workflow

Accounting and legal organizations should also consider how confidential documents are handled from the computer to the final printed page.

Build a More Efficient Printing Environment

A well-managed printing environment can make everyday business tasks easier. Employees can spend less time dealing with printer problems and more time focusing on important work. Professional print services can bring together equipment, monitoring, security, maintenance, and workflow planning into one organized approach.

For accounting firms, this can mean better control over financial documents and sensitive client information. For legal firms, it can mean more secure handling of case-related paperwork and improved document workflows. The right printing solutions for accounting firms and printing solutions for legal firms should be based on the specific needs of each organization.

Final Thoughts

Printing remains an important part of many professional workplaces. When printing is unmanaged, businesses may face unnecessary costs, security concerns, equipment problems, and workflow delays. With the right approach, companies can create a printing environment that is easier to manage and better suited to their daily needs.

From cost control and document security to equipment management and workflow improvement, professional print management can help businesses get more value from their printing environment.

For accounting and legal firms, choosing appropriate printing solutions can also help protect sensitive information while supporting employees in their everyday work.

Technology in the workplace is changing quickly. Artificial intelligence is reshaping everyday tasks, cybersecurity threats continue to evolve, and advances such as quantum computing are changing the way technology manufacturers think about protecting devices for the future.

For businesses, that means choosing office technology is no longer just about print speed, image quality or monthly volume. It is also about finding technology that can help employees work more efficiently, protect information and stay prepared for what comes next.

As a HP Power Partner, Amplify MPS Specialist, Copiers Northwest is proud to bring HP business technology to customers throughout the Pacific Northwest, combining HP innovation with the local expertise, service and support our customers rely on.

Here are three areas where HP is helping move office technology forward.

1. Transforming Everyday Work with HP AI

AI may get most of its attention for chatbots and content creation, but some of its most practical applications are happening quietly in everyday business processes.

2. Quantum-Resistant Today. Why That Matters for Tomorrow.

“Quantum-resistant printing” may sound like technology we will not need to think about for years. HP is taking a different approach.

Quantum computing has the potential to dramatically increase computing power for certain types of calculations. But that advancement also creates a future cybersecurity concern because sufficiently powerful quantum systems could eventually threaten forms of asymmetric encryption, including RSA and Elliptic Curve Cryptography, that organizations rely on today.

There is also a security strategy known as “Harvest Now, Decrypt Later.” Attackers can collect encrypted information today with the intention of decrypting it in the future as quantum computing capabilities advance.

This is where investment protection becomes especially important.

Businesses purchase office technology they expect to keep operating for years. Security requirements, however, can change significantly during the life of that equipment. Preparing devices for future threats today can help organizations protect both their technology investment and business continuity tomorrow.

HP has introduced quantum-resistant protection at the hardware level in supported Enterprise and Pro-class printers. HP’s approach incorporates quantum-resistant digital signatures into the hardware root of trust to help protect BIOS validation and firmware integrity. HP Sure Start and Secure Boot technologies work behind the scenes to validate BIOS integrity when supported devices start.

The important takeaway for businesses is not that quantum computers are going to threaten the office printer tomorrow. It is that security planning should look beyond today’s threats. Technology purchased now should be capable of helping organizations respond to a security environment that will continue to evolve.

Learn more about HP printer security and quantum-resistant technology

3. HP Wolf Security: Protecting an Often-Overlooked Endpoint

Printers and multifunction devices are connected to the same networks that contain business applications, employee information and other valuable data. That makes print security an important part of an organization’s overall cybersecurity strategy.

HP Wolf Security is designed differently from security that is simply added onto a device after the fact. HP describes its printer security as built in and always active, providing continuous protection throughout the life of supported printers and MFPs.

On supported HP Enterprise devices, that protection can include several layers:

HP Sure Start helps validate the BIOS when the device starts and provides self-healing recovery capabilities.

Allowlisting validates firmware and software code.

HP Memory Shield provides hardware-based runtime intrusion detection, including protection designed to identify known and unknown threats.

HP Connection Inspector Technology continuously monitors network behavior for suspicious activity and can provide automatic recovery.

HP also offers fleet-level tools such as HP Security Manager, which can help organizations manage security policies, device identity certificates and firmware vulnerabilities across their printer fleet.

Together, these technologies reflect a larger shift in office printing. A printer should no longer be something IT thinks about separately from network security. It is another connected endpoint that needs to be considered as part of the entire technology environment.

A printer fleet assessment gives an organization a clearer picture of how its printers, copiers, multifunction devices, and related document workflows are actually being used. Instead of making equipment decisions based on assumptions, age alone, or the latest service problem, an assessment examines the current environment and creates a factual starting point for future decisions.

That distinction matters because a print environment can change gradually. Departments grow. Employees move. Workflows become more digital. Some devices receive heavier workloads while others sit underused. Supplies may be ordered through different channels, and service histories can become difficult to compare. Over time, the equipment that once matched the organization may no longer align with how people work.

A useful assessment looks beyond a simple inventory. It considers device placement, print volume, workflows, service needs, operating costs, user requirements, document security, and other factors that influence the effectiveness of the overall print environment.

For organizations planning equipment replacements, reviewing managed print services, consolidating offices, or simply trying to understand their current print operations, that information can provide a more reliable basis for the next decision.

What a Printer Fleet Assessment Should Measure

A printer fleet assessment should document what equipment exists, how it is being used, what it costs to operate, and how well it supports current business processes. The goal is not simply to create a spreadsheet of devices. The goal is to understand the relationships between equipment, employees, documents, service requirements, and business needs.

Copiers Northwest takes a similar discovery-first approach through its complimentary DocuStudy assessment, which includes reviewing organizational goals, current workflows, printer volumes, user needs, and business applications before recommendations are developed.

Start with a complete device inventory

The first step is identifying what is actually in the environment.

Depending on the organization, the inventory may include:

Shared office printers

Multifunction devices

Copiers

Document scanners

Desktop printers

Specialized printing equipment

Devices located in branch offices

Approved equipment used by remote or hybrid employees

For each device, useful information can include its location, primary users, approximate age, network status, capabilities, service history, and typical workload.

The process can uncover surprises. A department may have several small printers that were added over time without centralized planning. Another location may be relying heavily on one shared device while similar equipment nearby receives very little use.

A complete inventory also has a security purpose. The National Institute of Standards and Technology notes that printers, copiers, scanners, and multifunction devices can process, store, or transmit information. NIST recommends evaluating the risks associated with these devices as part of an organization’s security practices.

That means an assessment should not treat network-connected print equipment as isolated office furniture. The devices are part of the broader information environment and should be accounted for accordingly.

Measure actual volume and utilization

Knowing that a printer exists does not tell you whether it is appropriately placed or sized.

An assessment should examine actual usage wherever reliable data is available. That can include:

Total pages produced

Color versus black-and-white output

Department or user activity

Peak periods

Scanning activity

Large print jobs

Devices that are rarely used

Devices experiencing consistently heavy workloads

This information can reveal imbalances that are difficult to see during day-to-day operations.

An underused device is not automatically unnecessary. It may serve an important specialized function or provide required access for a particular department. Likewise, a heavily used device is not automatically a problem if it was selected and configured for that workload.

The important question is whether actual usage matches the role each device is expected to perform.

Review service patterns, supplies, and operating expenses

Maintenance records can add another layer to the assessment.

One service call does not necessarily indicate that equipment needs to be replaced. A recurring pattern, however, can justify closer examination. Organizations may want to review service frequency, repeated issues, employee-reported problems, parts availability, and the amount of staff time being spent coordinating repairs.

Supply management deserves attention as well.

Questions worth asking include:

Are multiple employees ordering supplies?

Are unused cartridges accumulating?

Do teams regularly run out of toner?

Is inventory being stored at multiple sites without clear tracking?

Do employees know where to request service and supplies?

Are departments paying for printing through separate budgets or invoices?

These details help reveal administrative friction that may not appear in device-level usage reports.

For organizations seeking a more centralized approach, Copiers Northwest’s managed print services program includes preventive maintenance, printer service, toner management, and consolidated management of document output devices.

Examine workflows, not just page counts

Printing is usually part of a larger process.

A customer invoice might begin in an accounting application, be printed for review, signed, scanned, emailed, and then stored electronically. A human resources document may pass through several approval steps before reaching a printer. A field office may scan documents that need to be routed to employees at another location.

If an assessment only counts pages, it can miss the reason those pages exist.

Interviewing employees and department leaders can uncover questions such as:

Which documents still need to be printed?

Which processes rely heavily on scanning?

Where do delays occur?

Which teams require color?

Are employees reprinting documents because of errors or inconvenient workflows?

Do employees regularly walk past one device to use another?

Are manual document steps creating unnecessary work?

Are different offices handling the same process in different ways?

Copiers Northwest’s existing guide to developing an office print policy makes a related point: understanding what employees print, why they print it, and where documents go next provides context that a basic device list cannot capture.

Include efficiency and power-management settings

Energy use may not be the primary reason for performing an assessment, but equipment settings can still be worth reviewing.

ENERGY STAR’s imaging-equipment guidance identifies power-management features and automatic duplexing among the criteria used for qualifying imaging equipment. It also recommends maintaining effective sleep settings where appropriate.

For a business, the practical takeaway is not that every older device must immediately be replaced. Instead, efficiency should be considered alongside workload, service requirements, functionality, and the organization’s replacement plans.

A sound assessment looks at the whole operating picture rather than making a decision from one data point.

How Fleet Data Leads to Better Office Technology Decisions

Collecting data is only the first half of the process. The next step is interpreting what the information means.

The most valuable assessment is one that connects findings to specific business decisions.

Match equipment to actual workloads

Organizations often accumulate equipment one request at a time. A department needs a printer, a branch office expands, a manager requests a device nearby, or an older machine gets replaced without reviewing the surrounding environment.

Those individual decisions can make sense when they happen. Years later, the resulting fleet may be uneven.

Assessment data can help identify where equipment no longer matches demand.

For example, a high-volume department may be relying on equipment that receives substantially more activity than originally expected, while another device with similar capabilities receives little use. The solution might involve changing placement, shifting work, consolidating devices, or planning equipment changes.

Importantly, right-sizing does not automatically mean reducing the number of devices. It means aligning equipment capacity and accessibility with real requirements.

Identify areas where better visibility may help

Some organizations know how much they spend overall but have limited insight into where that activity originates.

Print tracking and cost-management information can help answer questions such as:

Which departments generate the most output?

How much color printing occurs?

Which devices receive the most use?

Are certain activities associated with specific projects or cost centers?

Are print rules being applied consistently?

Are multiple locations being managed in the same way?

Copiers Northwest offers print tracking and cost-management tools that can centralize users, groups, rules, security permissions, cost centers, and reporting within a print environment.

The right level of tracking will depend on the organization. A professional services firm may care about allocating document expenses to client matters. A school or public-facing organization may be more interested in departmental visibility. A company with several branches may prioritize consistent reporting across locations.

The assessment should identify what information would actually help decision-makers rather than collecting data merely because it is available.

Separate equipment problems from process problems

One of the most useful outcomes of an assessment is determining whether a frustration is really caused by equipment.

Suppose employees complain that printing takes too long. The cause could be an overloaded device, but it could also involve network configuration, inefficient routing, oversized files, poor device placement, unnecessary approval steps, or a workflow that should be digital.

Likewise, complaints about scanning may not require a new scanner. Employees might need a simpler routing process or a better way to manage captured documents.

Looking at the process surrounding the equipment can prevent organizations from treating every operational problem as a hardware problem.

Establish priorities before requesting proposals

A fleet assessment can also improve the equipment-buying process because it gives an organization a clearer list of requirements before it begins comparing options.

Instead of asking, “What copier should we buy?” decision-makers can ask more useful questions:

What monthly workload needs to be supported?

Which teams require color?

What page sizes are actually used?

How important is scanning?

Which workflows need secure document handling?

Where do employees need access?

Which locations should follow the same standards?

What service expectations should be documented?

Which functions are essential, and which are rarely used?

Specific requirements make it easier to evaluate proposed solutions on their fit for the organization rather than on a long list of available features.

When Does Your Business Need a Printer Fleet Assessment?

A business does not need to wait for a major equipment failure to conduct a printer fleet assessment. The assessment is particularly useful when there is uncertainty about how well the current environment matches organizational needs.

Several situations can justify a closer look.

You do not have a reliable inventory

If no one can quickly identify the organization’s printers, copiers, scanners, locations, and basic usage patterns, creating an inventory is a logical starting point.

This is especially relevant for companies that have grown through new offices, acquisitions, departmental purchases, or years of decentralized technology decisions.

Print costs are difficult to explain

An organization may have invoices for equipment, service, supplies, and paper without having a consolidated view of how those expenses relate to actual usage.

An assessment will not automatically reduce spending, but it can help decision-makers understand what they are paying for and which areas deserve further analysis.

Service issues keep recurring

Repeated service requests can be a sign that certain equipment deserves closer review.

The assessment should look at the pattern rather than assuming that age alone determines when replacement is necessary. Workload, reliability, service history, functionality, and business impact all provide useful context.

Employees rely on workarounds

Employees often adapt when office technology does not fit the process.

They may send jobs to a different floor, keep a personal printer nearby, scan documents in multiple steps, carry paper between departments, or repeatedly ask another employee for help with a specific task.

Those behaviors can be valuable clues. They show where the documented process differs from the process employees actually use.

Your organization is moving, expanding, or consolidating

Physical changes are an ideal time to reassess equipment placement.

Moving every existing device to the new location may be convenient, but it also carries forward the assumptions of the old workplace.

An assessment performed before a move can help determine how many devices are needed, where they should be placed, what workflows they need to support, and whether different departments can share resources effectively.

Several offices operate independently

Multi-location organizations can gradually develop different service practices, equipment mixes, ordering processes, and print rules at each branch.

A company with locations in Seattle and Spokane, for example, may find that the two offices handle similar document tasks in very different ways.

The objective does not have to be identical equipment everywhere. The better goal is an intentional environment in which differences have a business reason.

A lease or replacement decision is approaching

Upcoming equipment decisions create another natural assessment point.

If a device is approaching the end of a lease or an organization is planning a replacement, reviewing the surrounding fleet first can prevent a simple one-for-one replacement from becoming the default.

The organization’s requirements may have changed considerably since the previous equipment decision.

What is included in a printer fleet assessment?

A printer fleet assessment typically reviews the organization’s devices, locations, usage patterns, print volumes, service requirements, operating expenses, supply processes, workflows, user needs, and relevant security considerations.

The exact scope should reflect the organization’s goals. A business evaluating an office move may focus heavily on placement and capacity. A multi-location organization may prioritize standardization and reporting. A company concerned about document workflows may spend more time examining scanning, routing, and user behavior.

Is a fleet assessment only intended to reduce the number of printers?

No. A good assessment is intended to determine whether the print environment appropriately supports the organization.

Consolidation may make sense when several devices are genuinely redundant, but other findings may point in the opposite direction. A busy department could need greater capacity, a different device location, or improved access to specific functions.

The objective is alignment, not simply reduction.

Can a printer fleet assessment include document security?

Yes. Security should be considered when printers, copiers, scanners, and multifunction devices process or transmit business information.

NIST’s guidance on replication devices specifically addresses protecting the confidentiality, integrity, and availability of information associated with these technologies.

A fleet assessment can therefore help identify which devices are connected, what types of information they handle, and where further security review may be appropriate. It should not be treated as a substitute for a complete cybersecurity risk assessment.

How often should a business reassess its printer fleet?

There is no single reassessment schedule that fits every organization. A review is particularly useful after meaningful changes to staffing, locations, workflows, equipment, business processes, or print volumes.

Organizations can also incorporate periodic reviews into technology planning rather than waiting for an urgent replacement decision.

The right frequency depends on how quickly the print environment and the business itself are changing.

Can businesses with several Pacific Northwest offices evaluate their fleet together?

Yes. A multi-location assessment can evaluate the organization as one environment while still accounting for the different requirements of individual offices.

For example, a corporate office in Seattle may have different print volumes and workflows than a smaller branch in Tacoma, Olympia, Portland, or Bend. Those differences do not prevent centralized planning. They simply need to be documented so that standards, service processes, reporting, and equipment decisions can reflect actual local requirements.

Turn Fleet Data Into a Practical Print Plan

The purpose of assessing a print environment is not to produce more data. It is to make the next office-technology decision more informed.

A useful assessment establishes what equipment exists, measures how it is being used, identifies operational and workflow issues, reviews service and cost patterns, and connects those findings to business requirements. That baseline can help an organization decide what should remain in place, what deserves further review, and where changes may provide practical value.

It can also change the conversation around office equipment. Instead of replacing a printer simply because it is old or adding another device because a department requests one, decision-makers can evaluate the entire environment and ask whether each choice supports actual workloads and workflows.

For organizations with a growing number of devices or several locations, that broader perspective becomes increasingly useful. Print environments tend to evolve one decision at a time. A structured review brings those individual decisions back into a common plan.

Coming this summer to an office near you: slow print speeds, mysterious error codes and the return of the paper jam that refuses to die.

While it may sound like the plot of a low-budget action movie, outdated office technology can create very real frustration in the workplace. A printer that jams every other day, a copier that takes forever to warm up or software that no longer keeps up with your team can turn a normal workday into a full-blown disaster scene.

Every great summer blockbuster has a villain, and in the office, outdated technology often plays the part perfectly.

First, there is the classic slowdown. Jobs take longer to print, scanning becomes inconsistent and employees spend more time waiting than working. Then come the surprise breakdowns. Just when you need your equipment most, it decides to freeze, flash an error message or stop completely.

The good news is that every blockbuster also needs a hero.

Modern office technology products(opens in new tab) can help businesses work faster, smarter and with fewer interruptions. Today’s equipment offers improved speed, better print quality, stronger security features and more efficient workflows.

The right software solutions(opens in new tab) can also help streamline document management, reduce manual tasks and make it easier for teams to stay organized. A managed print program such as PrintSmart(opens in new tab) can help businesses manage equipment, toner, maintenance and print expenses more efficiently.

Even the best technology needs a reliable support team behind it. From troubleshooting error codes to resolving paper jams, Copiers Northwest offers convenient support resources(opens in new tab) and a highly experienced service team(opens in new tab) dedicated to keeping customers productive.

If your current office technology feels like it belongs in a disaster movie, it may be time for a rewrite.

This summer, skip the drama, avoid the sequel and give your workplace the upgrade it deserves.

Obliteride brings together thousands of participants, volunteers and supporters with one shared purpose: helping accelerate cancer research. This year, more than 5,300 participants and nearly 1,000 volunteers took part, helping raise more than $7.4 million so far for groundbreaking research.

For our team at Copiers Northwest, Obliteride is personal. Each team member has their own reason for participating and a connection to someone whose life has been impacted by cancer.
